Why should you be maintaining customer lists?


This question can be answered simply by evaluating the difference between postal communication and email correspondence. Traditionally we have been used to addressing postal correspondence to a particular position within a company, with the assurance that if we attach the correct postal address of the company on the envelope, anyone receiving the letter would ensure that the most appropriate person within the position that the letter was addressed to would receive the correspondence.

 

Email offers us the opportunity to reach individuals within companies, without having to be routed through a mail room. In effect, we have moved away from “Attention: The Buyer” to “ sally@client.co.za”  

 

Email has had the effect that we don’t communicate with positions within a company anymore, but with individuals within the company. Email is direct, and if we don’t know who the buyer, or the other strategic people in the company are, we are not going to be able to communicate effectively with them. This ability of being able target individuals within a company with the help of email, offers distribution discretion to the sender, but this also adds the responsibility of ensuring that the communication is relevant to the recipient.
