                              The process of customer list building is an ongoing activity
                              and one which requires constant focus and attention.
                              Employment is not unvarying by nature, with people constantly changing their source of employment or moving between departments, and so it is with your clients. To ensure that your contact list is kept up to date and is reflective of the key contact people within your contact list requires constant attention and commitment. A dedicated strategy towards customer list building.

 

Customer list building can be facilitated in a number of ways; the first, which is subscriber-motivated, is through the subscription form on your website. This subscription form is located on the landing page of your website. Any visitor to your website who finds the information on the website worthwhile, will be encouraged to subscribe to your future newsletters so that they may receive information similar to that which they found on your website. It needs to be noted that those who subscribe to your newsletters may not necessarily be existing clients. Subscription notification email is sent to you informing you of new subscriptions, so it’s important to follow up these subscriptions as they represent leads which need to be followed up to ensure that visitors to your website are converted into customers.

 

An independent subscriber form will be made available to your sales, marketing and administrative staff as a portal to add subscribers to your customer lists. This interface needs to be used with caution because if your staff administers a subscription on behalf of a client or any other interested party, they need to be wary of not spamming an individual. In short, there needs to be a causal link between your company and the individual who is being subscribed. You need, for example, to have conducted business with the individual within the last two years to be safe. Where to start?

 

The most obvious place is within your existing accounting or ERP (Enterprise Resource Planning) software. At the point of opening an account for a client a field is offered by most of these packages to record the details of an account contact, or multiple contacts depending upon the particular software package. A word of warning though: These contacts may not necessarily be the procurement contacts, and in most cases probably represent the individual who administers the account on behalf of the client, and have very little control over procurement decisions. Their contact information is still valuable in that they would be able to direct you towards the key contacts you are looking for.

The surest and most effective way of building your customer list is through the efforts of all of your staff. Sales representatives who manage the client relationships on your behalf know and share a relationship with the key personnel of your customers. They need to be tasked with building your client lists through a dedicated effort during their deliberations with the client.
